Q: Does Alan require a pre-speech conference call?

A: It is not required, but we strongly recommend it and usually hold one. Speaking to the principals and planners helps Alan understand the organizations concerns, focus and objectives. For example: A company or association who hires Alan to speak on “CHANGE” could be merging with another entity, facing uncertain markets or have downside effects of merging organizational cultures. The audience could be discouraged, apprehensive or concerned about a RIF. Each of these variables and so many more, affect how Alan delivers his message. A conference call helps the principals clarify the nature and mood of the audience and their most important needs.

Q: What travel expenses can we expect to incur?

A: Inside the contiguous U.S.A. we bill a flat-fee rate of $1200 per engagement (beginning January 2008) plus hotel. We ask that the client arrange the hotel reservation on the site of the meeting and charge it on their master account. Hotel costs are: hotel room rate, taxes and any resort fees levied by the hotel.

* Outside the contiguous U.S.A. (including Hawaii and Alaska) we bill a maximum of fully refundable unrestricted round-trip business fare (first-class where business is unavailable) from Alan's homeport. To that is added a travel agent fee, upgrades and luggage fees (if applicable) not to exceed the cost of fully refundable unrestricted round-trip charges.  *Flat-fee expenses can be calculated on a case-by-case basis once venue is considered.

Other expenses are billed as follows:
Hotel room, tax and resort fees, if applicable
$90 per diem per night of hotel stay

$90 flat fee for ground transportation at Alan's home site
Actual ground transportation costs to and from the site of your engagement.

Of course, any expenses paid directly by the client will be deducted from the expenses noted above outside the contiguous U.S.A. We ask that your contract with the client company specify the expenses to be paid, so problems in invoicing large corporate accounting divisions are avoided.

Q: Should we provide hotel accommodations for Alan?

A: Yes. Please request a quiet, non-smoking room.

Q: Will Alan require 1 or 2 nights stay in the hotel when he comes to our event?

A: Alan will discuss this with the client. However, If your engagement ends by 1 PM, one night in the hotel is required in the contiguous US and most of Canada. If your engagement ends after 1 PM in the contiguous US and most of Canada, Alan may require a 2 night stay due to flight schedules or lapsed time before another engagement. We make every effort to provide travel information as far in advance as possible. Usually, length of stay at hotels is firm 2 weeks prior to each event.

If Alan is flying to Alaska, the Caribbean, Hawaii or Mexico he will require a minimum of 2 nights stay. TBD with client company based on venue.

European, Asian and Australian events must be discussed with the client company at the time of booking. More than 2 nights stay may be necessary due to engagement timeline, flight availability and country of destination.

Q: After we book Alan, when can we expect his flight schedule to arrive?

A: Many organizations book speakers close-in to the meeting date. As a result, we do not typically email a definitive flight schedule before 1 week to 10 days prior to an event. Should we have the information sooner, we will certainly make it available to you.

Q: What is the overall timeline to complete setting up Alan's speech after he is booked for our event?

1. Booking occurs
2. Contract information is received from the booking bureau/agent
3. Alan’s office sets-up a conference call either through the agent/bureau contact or directly. Agent to determine. In some instances a call is not necessary. However, if the principals feel they need to speak with Alan prior to the event, he will make himself available.
4. A custom introduction is constructed for the client company based on conference call information. Alan emails it to the client.
8. If PowerPoint images are used they will typically be emailed to the designated client contact directly. Alan will also bring them with him on a jump drive.
9. Alan arrives at the hotel the night before your event.
